You are invited to exhibit at the 2018 Spring Short School

March 6-8, 2018 | Riverhouse on the Deschutes | Bend, Oregon

This well attended school hosts students from throughout Oregon and offers a unique opportunity for suppliers to reach 150+ street maintenance and wastewater collections systems personnel at one gathering.  This is a must-attend opportunity for industry companies!

Please note: Registration for returning fall exhibitors that provided feedback will have one week to register prior to opening registration to the public. Those companies were sent an email with an early access code to register. If you believe your should have received that email and didn't please contact cameopeg@gmail.com. Exhibit registration will open to everyone on Thursday, January 11, 2018. Thank you!


Exhibit Space

6’ Tables will be provided and prominently displayed near the refreshments and classrooms. Attendees are available and encouraged to visit exhibits before sessions, during lunch, and at refreshment breaks.


Pub & Grub formerly the Exhibitor Hosted Social

The Pub & Grub is held from 5 to 6:30 pm on March 6th and will feature "pub inspired" appetizers. This rebranded night is designed to build camaraderie between students and exhibitors. Each student will receive a BINGO card in their packets and are encouraged to attend the Pub & Grub, play BINGO with the opportunity to win prizes donated by the exhibitors with a grand prize drawing donated by APWA and Ashland Hills Suites! Please make sure to have a representative at your booth for the entire Pub & Grub event! Drinks are served and exhibitors are given recognition for their contributions. Refreshment costs are covered by exhibitor registration fees and shared equally among all companies. We encourage you to arrive in time to set up your display and join in this unique networking opportunity to visit with school students.


Certificate of Insurance

Our National Association requires each Chapter to obtain a Certificate of Insurance from exhibitors before being allowed to set an exhibit in a facility that APWA has contracted with. Please email (cameopeg@gmail.com) or fax (503-419-4369) your certificate to our office.


Shipping Procedures

Should you require any technical assistance or supplies for your booth, please make those arrangements with the facility. If you need to ship display or promotional items in advance of your arrival, contact the facility for proper shipping information.


Booth Set-up

Tuesday, March 6, 9:00 am - 4:30 pm. We will assign booths on a first-come/first-paid basis. We will make consideration for companies you list as a competitor during online registration. If a display is set in an unassigned space, the exhibitor will be asked to move the exhibit to the assigned space or it will be moved by staff and the supplier will be invoiced for the relocation. The exhibit hall opens at 5 pm on Tuesday, March 6th.

Booth Tear-down

Wednesday, March 7th, 3:30 - 4:30 pm and Thursday, March 8th, 7:00 – 11:30 am. Exhibitors are welcome to display their products for the duration of the school.  If you choose to leave at the end of the Exhibit Show on Wednesday, please DO NOT dismantle before the show closes at 3:30 pm.  All exhibits must be removed no later than 11:30 am on Thursday.


Outdoor Displays

Outdoor spaces are provided for exhibitors to bring one piece of heavy equipment or machinery. Please check in at the school registration desk upon arrival and we will direct your to the outdoor display area. We will provide an “Outdoor Display Parking Pass” for these select exhibitors.  Please display the pass somewhere on the machine. Please note: Security of display items is the responsibility of the exhibitor.


Door Prizes

We urge your company to take advantage of a marketing opportunity by donating promotional items to be awarded as drawing prizes at the school. Donated prizes will be awarded  at the Pub & Grub and throughout the school as attendees submit session evaluations. The continual prize awarding procedure captures attendee interest and is a great way to enhance the distinction of your company. We would appreciate receiving your contribution on the first morning of the school.


Exhibit Fees

Booth Space*             $425

Reps 2-4**                $100 / each rep

*Includes: 6’ skirted table, 1 representative credentials and meals, outdoor space (if registered, first-come basis).

**If at any time during the school, your company is observed with non-registered/unpaid representatives they will be added to your registration and billed to the payment used for registration. When you bring representatives and/or guests that you have not paid for, it increases the schools costs which; then increases future school registration costs.


Sponsorship Program - NEW!!!

Maximize your company presence at the APWA Short School! We are pleased to now offer sponsorship opportunities to Street Maintenance and Collection Systems participating exhibitors. Late Fee: $75, Effective February 13
Cancellation Fee: $75, Effective February 20
No Refund, Effective February 27

Exhibit Feedback and Prize Drawing

We always appreciate your feedback! We now use an electronic evaluation. Please have your reps download a QR code to their iPhone, Smart Phone, or Tablets! To show our appreciation for their participation, we will announce the winners during the last break on Wednesday (between 3:15 – 3:30 pm). We will be giving away three prizes: 1 - $75 and 1 - $50 gift certificate that is good toward exhibit registration fee for 2018 Fall School and 1 - $50 CASH PRIZE!!! Company representative must be present to win.

Terms and Conditions

CANCELLATION AND REFUND POLICY:
A full refund is obtainable through the end of business February 19, 2018. Thereafter, refunds are subject to a $75 cancellation fee.  Cancellations can  be done online or by written notification to cameopeg@gmail.com. NO refunds one week prior to start of school. NOTE: No cancellation and no show will result in a full charge. 

ASSUMPTION OF RISK, LIABILITY WAIVER AND RELEASE AND INDEMNITY:

In consideration of being allowed to participate in the APWA-Oregon Chapter Street Maintenance and Collection Systems Short School, including any related events, tours and activities (collectively the “APWA-Oregon Chapter Short School”), I acknowledge that I am voluntarily undertaking participation in the APWA-Oregon Chapter Short School and by doing so I agree to observe and obey all posted rules, regulations and warnings; assume all risk and take full responsibility for my own well-being. I am fully aware that possible property damage, physical injury, illness or death may occur as a result of my participation in these events and activities. I forever release the APWA, its directors, officers, employees, volunteers, agents, contractors, and representatives (collectively “Releases”) from any and all actions, claims, or demands that I, my family or heirs now have or may have in the future related to my participation in these activities. Further, I agree to take full legal and financial responsibility for damage to personal property or the facilities utilized during the APWA Oregon Chapter Short School or injury to another (including death) caused by my own negligent, reckless or willful actions. I understand any legal or equitable claim that may arise from my participation in the APWA Oregon Chapter Short School shall be resolved under Oregon law. By registering for the APWA Oregon Chapter Short School, I acknowledge that I have read, understand and agree to these terms and I am entering into this agreement of my own free will.
